Privacy Notice for Job Candidates

In this privacy notice for job candidates (the ‘Notice) we, UAB Kilo grupė, company code 303157579, registration address Antakalnio St. 17, LT-10312 Vilnius, Lithuania (‘Company’‘we’‘us’ or ‘our’), explain how we, as a data controller, handle your personal data (the ‘Personal data’) when you apply for an open job or internship position through our website https://kilo.health/careers/  (‘Website’) or by contacting us by email or other publicly available means (e.g. Linkedin). 

This Notice does not cover your use of our products or services as a consumer. For more information, please read our Website Privacy Policy.

1. For what purposes we process your personal data?

1.1. We collect, use and otherwise process your Personal data for the following purposes:    

  • to assess your application and your suitability for an open job or internship position;
  • to contact you about suitable job opportunities as they may arise in the future and invite you to participate in our candidate selection process;
  • to conduct surveys (i.e. to get your opinion on the recruitment process). 

2. What Personal data we collect? 

2.1. Having your consent, we may collect the following Personal data from you for the purpose of evaluating your, as candidate’s, application for an open job or internship position: 

Identifiers: your name, surname.  

Contact information: email address, phone number, country of residence. 

Professional networking sites: LinkedIn profile. 

CV: information provided in CV (i.e. work history, educational history, certifications, skills, academic degrees, qualifications, professional background, language skills and any other data provided therein). 

Cover letter: information provided in your cover letter.  

Recruitment task data: presentations, video task there your face image is visible (if you agree), other tasks performed by you. 

Other information: any other information you voluntarily submit to us in connection with your application, including information you provide during interviews, or as part of other forms of assessment.   

Regarding information we may receive from third parties. We may collect your Personal data related to your qualification, professional abilities and professional qualities from your former employer after informing you beforehand, and from your current employer only with your consent. You can withdraw your consent at any time by sending an email to [email protected]. Withdrawal will not affect the lawfulness of processing before the withdrawal.

We also may collect your Personal data lawfully received from recruitment agencies, social media providers (i.e. Linkedin), HR tools (i.e. MeetFrank OÜ), our employees via referral system as provided in Section 3 of this Notice. 

2.2. Please note that when you apply for an open job or internship position, we will not collect and process your sensitive Personal data (e.g. information about your health, sexual orientation, religious views and etc.).  

2.3. After the process of the selection of candidates ends, we may ask you to express your opinion and evaluate the recruitment process. Therefore, we may process your response to our questionnaires or survey.  

3. Referral system  

3.1. We have a referral system where our current employees, including employees of our group of companies, can recommend a potential candidate. The employee recommending a potential candidate may provide data about a potential candidate to us and, therefore, the employee undertakes to inform a potential candidate about transfer of the Personal data to us and get permission. Such employee holds all responsibility regarding Personal data of a potential candidate. 

3.2. If we believe that the recommended candidate may be a suitable candidate for us, we may contact a potential candidate by the phone number or email address provided by our employee.  

4. On what legal grounds we process your Personal data?   

4.1. We collect, use and otherwise process your Personal data in accordance with the following legal basis:

4.1.1. when you apply for an open job or internship position and we assess your suitability for that position, we process your Personal data:  

  • on your consent (Art. 6(1)(a) of the GDPR). You can withdraw your consent at any time by sending a letter to the email address indicated in Section 10 of this Notice; 
  • we also have a legitimate interest to effectively organize our recruitment process, including to collect information about your qualification, professional abilities and professional qualities from your former employer after informing you beforehand (Art. 6(1)(f) of the GDPR).   

4.1.2. when we contact you about suitable job opportunities and invite you to participate in the recruitment process, we process your Personal data: 

  • on your consent (Art. 6(1)(a) of the GDPR). You can withdraw your consent at any time by sending a letter to the email address indicated in Section 10 of this Notice.  

4.1.3. when we send you a survey or questioner regarding recruitment process you participated in, we process your Personal data:  

  • on your consent (Art. 6(1)(a) of the GDPR). You can withdraw your consent at any time by sending a letter to the email address indicated in Section 10 of this Notice.  

5. How long we process your Personal data?   

5.1. We keep your Personal data for no longer than necessary to fulfill the purposes for which it is processed. 

5.2. We will process your Personal data for as long as the selection to the specific job or internship position is taking place (usually about 3 months), unless you make voluntary decision not to participate in the process and, thus, withdraw your consent to process your data. 

5.3. We will delete your Personal data if you are not accepted for a certain job or internship position, unless you give your consent to store your Personal data so that we can contact you about open job or internship positions that we think may be suitable for you. If you give such consent, your Personal data will be stored for 3 (three) years.   

6. To whom we provide your Personal data?  

6.1. We provide your Personal data to following recipients: 

  • Our group of companies (following the legislation requirements, we may transfer your Personal Data to our group of companies, for example, in order to properly carry out a selection for a vacant position with us or our group companies); 
  • Recruitment service providers;  
  • Service providers operating on behalf of us and under our instructions (e.g. IT service providers, web hosting service providers, etc.). 

6.2. Personal data recipients indicated in this section may be established outside the Republic of Lithuania, European Union (EU) and European Economic Area (EEA). In case we will transfer your Personal data to such recipients, we will take all the necessary and in the legal acts indicated measures to ensure that your privacy will remain properly secured, including where appropriate, signing European Commission approved Standard Contractual Clauses for transfer of data. 7. Your rights  

7.1. Subject to certain statutory exceptions, your principal rights under data protection law are the following:

  • the right to be informed about processing of Personal data;
  • the right to access your Personal data;
  • the right to rectification; 
  • the right to erasure of your Personal data;
  • the right to restrict the processing of your Personal data; 
  • the right to object to our processing of your Personal data; 
  • the right to object to our processing of your Personal data for direct marketing purposes (including profiling for direct marketing purposes);
  • the right to object to our processing of your Personal data for scientific or historical research purposes or statistical purposes; 
  • the right to data portability;
  • the right to lodge a complaint with a supervisory authority responsible for data protection;
  • the right to withdraw that consent at any time;
  • the right to request not to be subject to a decision based solely on automated processing, including profiling, which produces legal effects concerning you or similarly significantly affects you.

7.3. You may exercise any of the rights indicated herein by contacting us by email: [email protected]. Please note that we have a legal obligation to verify your identity before exercising your rights. We undertake to respond to your inquiry as soon as possible and within 1 month after it is received. This response time may be extended by 2 months for complex or multiple requests. In case of such an extension, we will inform you additionally.  

8. Right to complaint 

If you believe that your rights have been violated, you may contact us by e-mail [email protected]. Also, you may file a complaint with the supervisory authority in the EU member state of your habitual residence, your place of work or the place of the alleged infringement. 9. Changes to the Notice 

Any changes to this Notice will be published on the Website and, in case of material changes, we may inform you about such via email or by other means which we will deem the most fitting in a particular case. Any changes to the Notice shall come into force from the date of their publication, i.e. from the date they are posted on the Website.
